In this week’s tech tip, we explore how to choose between OneNote, Loop, and Copilot Notebooks to capture ideas, collaborate, and organize your work more effectively. If you’ve started exploring Copilot’s Notebooks, you may be wondering how they fit alongside tools like OneNote and Loop. While each can help you capture and build on ideas, they serve different purposes. Knowing which one to use can make your workflow smoother and more productive. Let’s take a look!
When to Use OneNote
Use OneNote as your long-term digital notebook. It’s ideal for research, meeting notes, and documentation that you’ll return to overtime.
- Organize with ‘sections’ and ‘pages’ for projects and clients.
- Capture images, emails, links, and handwritten notes.
- Sync OneNote seamlessly across devices for personal or shared knowledge.
Think of OneNote as your archive of record—the place where ideas mature and information stays accessible.

TIP: Use tags like, ‘To Do,’ ‘Important,’ or ‘Question’ to keep notes searchable. Create a ‘Reference’ section to store templates or resources you frequently use.
TIP: You may notice your Copilot Notebooks appear in OneNote—that’s by design. Microsoft uses OneNote’s structure for storage but only Copilot provides the AI chat and refinement experience. Opening a Notebook in OneNote shows the content, not the Copilot conversation.
When to Use Loop
Use Loop for real-time collaboration when ideas are still forming and you need others to contribute directly.
- Build meeting agendas, brainstorm lists, and status updates.
- Share pages or components right inside Teams or Outlook.
- Everyone sees live updates without switching apps.

TIP: Use Loop pages during Teams meetings to co-edit notes or capture follow-ups in real time. Convert any Loop list or table into a task list connected to Planner for easier tracking.

TIP: Loop and Notebooks are complementary. Loop handles live collaboration; Notebooks refine ideas afterward with Copilot’s help.

When to Use Copilot Notebooks
Use Copilot Notebooks when you’re exploring ideas, asking questions, or refining text with AI assistance.
- Draft and experiment with multiple versions in one place.
- Ask Copilot to expand, summarize, or reframe sections as you go.
- Keep your ‘conversation with Copilot’ organized across pages.


TIP: Start with a ‘goal’ statement using ‘Add Copilot instructions’ (e.g., “I need to draft a quarterly SEO report outline.”) to focus Copilot’s responses. Use separate pages for brainstorming, drafting, and refining so Copilot can help you iterate.
TIP: Even though Notebooks can open in OneNote’s interface, your AI context and prompt history stay in Copilot. To keep the conversation going, always return to your Notebook from the Copilot web or mobile app.

- Start in Loop to capture collaborative input.
- Move into Copilot Notebooks to refine ideas or generate first drafts.
