In this week’s tech tip, we’re highlighting a newer scheduling workflow available in the modern Microsoft Outlook experience, including new Outlook for Windows and Outlook on the web (OWA), that can help users reduce repetitive meeting setup and improve calendar efficiency.

As Microsoft continues evolving the Outlook across desktop and web experiences, users now have additional ways to create meetings faster using recurring meeting options, email-to-calendar shortcuts, and reusable content workflows inside Outlook.

Create Reusable Meeting Content

  • Open new Outlook for Windows or Outlook on the web
  • Begin creating a ‘new Event’ from Outlook mail or calendar
  • Select ‘My Templates’ from the meeting ribbon
  • Create and save reusable meeting content
  • Insert saved content into future meetings as needed

Reusable content can include:

  • Standard meeting instructions
  • Frequently used agenda sections
  • Internal process reminders
  • Client-facing scheduling notes
  • Recurring meeting language

TIP: While ‘My Templates’ is often associated with email workflows, it can also now help streamline recurring meeting creation in modern Outlook.

Additional Scheduling Shortcuts in Modern Outlook

Microsoft’s updated Outlook experience also includes several faster ways to create meetings and events depending on where users are working inside Outlook.

Create a New Event from Mail

From the Mail experience in Outlook, users can:

  • Select the dropdown carat below the ‘New’ button
  • Create a:
    • Mail
    • Mail from template
    • Event

This workflow allows users to quickly turn emails into scheduled calendar events.

Create a Meeting from Calendar

From the Calendar experience in modern Outlook, users can:

  • Select the dropdown carat next to the ‘New event’ button
  • Create a:
    • Event
    • Meeting with all

This helps users schedule meetings directly from the calendar interface with attendee-focused options.

Create a Recurring Meeting

  • Open ‘New Event’ from Calendar
  • Select ‘Make Recurring’
    • Clicking on the time field text will dropdown calendar options
  • Configure recurrence details such as frequency and duration
  • Save and send the meeting series

TIP: Recurring meetings in Outlook typically default to a six-month series unless adjusted manually.

Create a Meeting Directly from an Email

  • Drag an email from the inbox onto the ‘Calendar’ icon
  • Outlook automatically creates a reminder and draft meeting invitation
  • Add attendees and finalize scheduling details

This workflow helps users quickly turn conversations into scheduled collaboration.

TIP: Select toggle for ‘If conflicts arise, let Copilot reschedule this event’ and select ‘Acceptable times’ to adjust an acceptable event reschedule time.

Use Reply All by Meeting

  • Open an email message
  • Select the ‘…’ (ellipses) button menu in the reading pane
  • Choose ‘Other reply actions’
  • Select ‘Reply all by meeting’
  • Outlook converts the email conversation into a meeting invite

This method helps preserve email context while moving discussions into a scheduled meeting format.

New Outlook vs Classic Outlook

Microsoft continues prioritizing many new workflow enhancements inside the modern Outlook experience.

Availability:

  • New Outlook for Windows and Outlook on the web (OWA): Support newer scheduling workflows and integrated template-based content tools.
  • Classic Outlook: Uses more traditional meeting creation workflows and may not surface these tools in the same way.

TIP: Users who do not yet see some newer scheduling workflows in classic Outlook may find them available in Outlook on the web (OWA) or the new Outlook experience in the desktop app.

TIP: The My Templates add-in currently applies to meetings created through Outlook and Outlook on the web (OWA). The same ‘My Templates’ button does not presently appear in native Microsoft Teams meeting or mobile event creation workflows.

Using reusable content workflows and built-in scheduling shortcuts in modern Outlook can significantly reduce manual meeting setup. Features such as recurring meetings, email-to-meeting workflows, and reusable meeting content help users create meetings more efficiently.
