Teams Tips: Generate Files with a Copilot Agent – Tech Tip for January 15, 2026

In this week’s tech tip, we’re showing how Copilot agents in Microsoft Teams can go one step further—by generating files you can actually use.

If you’ve already created a Copilot agent and followed our previous tip, this next step builds on that foundation. We walk through a simple refinement that enables document creation, allowing your Copilot agent to turn meeting context into shareable Word, PowerPoint, or Excel documents. Let’s take a look!

Why Add File Creation to an Existing Agent?

Creating a generic Copilot agent can be helpful—but sometimes you need more than a summary message. Executives and customer-facing teams often need content they can review, edit, or share.

Refining an Agent to Generate Files Helps:

  • Turn briefings into reusable documents.
  • Create structured summaries for meetings or reviews.
  • Reduce manual formatting and copy/paste work.
  • Deliver more “finished” outputs from Copilot.

This approach keeps the Copilot agent simple while making its output more practical.

Licensing and Savings

TIP: A Microsoft Copilot add-in license for Microsoft 365 is required to create and edit agents and enable document creation.

What Changes When an Agent Can Create Files?

When you enable file creation, Copilot can:

  • Generate Word documents for call prep or summaries.
  • Create PowerPoint outlines for executive briefings.
  • Draft Excel documents to analyze data over time.
  • Structure content with headings, bullets and sections.

The agent still relies on the context you provide—it just delivers the output in a more usable format.

Configure a Copilot Agent to Generate Files

Edit the Copilot Agent:

  • In Microsoft Teams, select ‘Copilot’ (left tabbed navigation) in Teams desktop app.
    • If Copilot is not visible, select ‘View more apps,’ and search for Copilot.
  • Locate your existing agent (in this example we use the ‘Pre-Call Briefing Agent’).
  • Select ‘…’ (More options) next to the agent and choose ‘Edit.’

Enable Document Creation:

  • Select the ‘Configure’ tab in the agent.
  • Scroll down to the Capabilities section in agent settings.
  • Toggle ‘On’ the ‘Create documents, charts, and code’ option in settings.

This allows the agent to generate Word, Excel, or PowerPoint files when prompted.

Update Copilot Agent Instructions

Refine the ‘Instructions’ field to guide the Copilot agent on when and how to create files.

Add the Instructions:

  • “When requested, generate a concise, executive-ready document or presentation. Use clear headings and bullet points. Structure content for easy review and editing. Ask the user what format they prefer if it is not specified.”

This helps Copilot understand when a file is appropriate and how it should be structured.

TIP: If you choose to toggle ‘On’ the setting for ‘Create images’ be sure to add additional instructions to better direct your Copilot agent.

Add File-Focused Suggested Prompts

Update the agent’s suggested prompts to encourage file creation:

  • Document: “Create a one-page pre-call briefing document for my next meeting.”
  • Presentation: “Generate a slide outline for my upcoming customer call.”
  • Company-specific: “Create a briefing document for my meeting with [Company].”
  • Executive format: “Turn this pre-call briefing into a PowerPoint outline.”

Select the ‘Update’ button to save the Copilot agent’s configuration changes. Try testing the new refinements by prompting with your Copilot agent!

TIP: When working with your Copilot agent be clear about the format you want the agent to create your documents in (ex. Word vs. PowerPoint). Use Teams Copilot agents to create drafts, not final deliverables. Always review and edit AI-generated files prior to sharing.

By enabling document creation and adjusting instructions and prompts, you can turn an existing Teams Copilot agent into a practical assistant that delivers polished, business-ready content—right when you need it.
