Copilot Tips and Features: Copilot for Teams in Meetings – Tech Tip for Feb 6, 2024

Welcome to this week’s Tech Tip on Microsoft Copilot, our ongoing series to help you work more effectively with Copilot for Microsoft 365 apps. In today’s discussion we’re covering Copilot for Teams in Meetings. Let’s explore!

Copilot for Teams in Meetings

The Copilot for Teams in Meetings experience can summarize key discussion points, suggest action items, and can assist in generating thoughtful follow-up questions and recaps. Transcribe and translate your meetings with ease. Transcription will be turned on to access Copilot features by default in meetings. Copilot also gives you the option to start a meeting without transcription.

In Teams, navigate to Calendar -> Options -> More Options and scroll down to ‘Copilot’ to choose, ‘Without transcription,’ and ‘Save’ in advance of a new meeting. Let’s explore ‘With transcription’ meetings below.

 Access Copilot for Teams in Teams Meetings:

  • In a Teams Meeting window: select the ‘Copilot’ button to engage Copilot.
  • Select ‘Dismiss’ button to disengage Copilot.
  • Select ‘Start transcription’ button to engage transcription services for meeting.
  • Select spoken language drop-down attendees will use; transcription and captions will be generated in this language for the meeting.
  • Select ‘Confirm’ to begin transcription.
  • Copilot assistant will appear inside of the Meeting window, at right.
  • Type a prompt to dialog with Copilot while in the meeting.

Example prompts for Copilot:

  • “Suggest follow-up questions”
  • “Generate meeting notes” 
  • “Recap meeting and list action items”

TIP: Select the copy icon in Microsoft Copilot for Teams meetings‘Copy’ button on Copilot AI-generated content and paste data into other documents using Paste (CTRL+V).

TIP: Copilot offers suggestions and references transcription data points throughout meetings in dialog responses. Use the “More prompts” link to load and select other prompt suggestions for Copilot.

Access the Transcription Post Meeting:

  • Access your transcription post-meeting by selecting ‘Chat’ in the left-menu in Teams.
  • Meetings will be listed under Chat conversations as, “Meeting with …”.
  • Click on your recent meeting, and you should see a clickable ‘Transcript’ file.
  • Select the ‘…’ (ellipses) button for download options.
  • Click on the file itself to view the transcript directly in the Meeting window for ‘Download’ and ‘Delete’ options, also.
