We’re kicking off this month’s Tech Tips by discussing how to use live transcriptions in Microsoft Teams and how businesses can leverage this feature to maximize their productivity.
How to Use Live Transcriptions in Microsoft Teams to Improve Productivity
Microsoft Teams offers a way to transcribe live meetings, which can revolutionize how your team interacts during meetings, conferences, and brainstorming sessions. It’s great for people who are hearing impaired, but it can make everyone on your team more productive.
By providing a real-time text record of conversations, participants can focus on the discussion without worrying about taking detailed notes. With live transcriptions, everyone on your team can fully engage in discussions, leading to enhanced collaboration and more productive outcomes.
How to Start Live Transcriptions
To enable live transcriptions in a meeting, click on the “…” (More options) button located at the meeting control bar and select “Start transcription.” From there, Teams will start capturing the conversation in written form.
Changing the Language
Microsoft Teams supports multilingual transcriptions, allowing you to change the language to match the conversation. To do this, click on the “…” (Transcription Settings) button, select “Transcribe settings,” and then choose the desired language from the available options. Transcriptions must be in the same language spoken during the meeting.
Stopping Live Transcription
Once the meeting is over, you can stop the live transcription by clicking on the “…” (More options) button and selecting “Stop transcription.” This action will conclude the transcription process.
Downloading, Sharing, or Deleting Transcripts
After the meeting, you have several options with the transcript. You can download it to your device by clicking the calendar link from your meeting, selecting the transcript, and clicking Download. If you need to share the transcript with others, you can send the downloaded file to their email address. If the transcript is no longer needed, you can delete it by opening the meeting event, selecting “Recordings and Transcripts,” and clicking the Delete button.
